ABOUT THE POSITION:

Based on Polk State's Winter Haven campus, this position performs responsible administrative, clerical and customer support services for the planning and construction group within the Facilities department.

ESSENTIAL FUNCTIONS/DUTIES:

• Assists in the daily operation of the office by answering phones, processing correspondence, filing and processing incoming and outgoing mail, change orders, drawings and project budgets, and ordering supplies.
• Assists in establishing rapport and open lines of communication with all tradesmen, college personnel, and senior management.
• Reviews all pay requests for content, completeness and accuracy.
• Collects, and reviews requisition requests for all construction materials and contractors; processes them through the College's enterprise software system.
• Assists in the preparation of CIP, EPS and other required Florida State Reports, for the Florida State Board of Education.
• Issues, collects, reviews all new vendor requests forms and forwards to purchasing department.
• Maintains all drawings and project files.
• Assist in the preparation, and coordination of all construction related solicitation documentation such as but not limited to: RFQ, RFP, ITN.
• Establishes and maintain project calendars as required.
• Arranges for copies of drawings and files as needed. Travel may be required to accomplish this task.
• Coordinates and maintains project files/records, attends meetings and records minutes.
• Monitors and arranges for the approval of all invoices for project activities
• Other administrative duties as assigned.

Required Skills:

• Good organizational skills, with special attention to details.
• Experience with computer, spreadsheets, word processing, databases and project schedule software.
• Good oral and written communications skills.

• Willingness to learn.
• Possess a valid Florida Driver’s License or ability to obtain a license within 1 month of employment. 

Required Education:

Graduation from a standard high school or equivalent.

Required Experience:

At least two years of office/clerical experience is required.

Preferred Experience:

Experience working in an office/clerical position with a general contractor, developer, or architect is preferred.
