ABOUT THE POSITION:

This position is responsible for the daily operations in the Admission module of the Jenzabar One software and is responsible for applications, transfer of students to the Registration module, and communications that go from the Admission module to the student. Responsibilities required close and collaborative interaction with the assistant registrars on both campuses. This position is the primary provider for reports to College Administration on the progress of applicants through the Admission process. This position requires a high degree of self-initiative and strong database skills.

ESSENTIAL FUNCTIONS/DUTIES:

• Function as the Admission Module Manager with ability to write help desk requests to Jenzabar Help desk.
• Coordinate all incoming applications using staff as assigned as a resource for processing. Oversees any issues or problems with applications. Advises/consults with prospective, new and current students.
• Maintains reports and the College's application in the Admission module of the College's J1 software.
• Ensures that campus Admission and Registrar staff follow student contact protocols by providing reports, following up on proper notation in J1 with comments on student records.
• Responsible for the AD-to-RE transfer of students and running processes related to the AD-to-RE transfer.
• Assist Transcript Services in the receipt, troubleshooting and data entry of all electronic transcripts, test scores, and accelerated credit from the College Board, Dantes and other such entities. (CLEP, AP, IB, etc.).
• Assist Transcript Services in transcript evaluation tasks.
• Provides National Student Clearinghouse submissions and troubleshooting.
• Handles the communication and troubleshooting with the state FLEID submissions.
• Handles the posting and communication with all military portals, veteran's portals, and other entities requiring grade submission (except Dual Enrollment).
• Resolves conflicts from the Information Center with new students, such as Orientation hold issues and Admission Step issues so that students' pathways to registration are cleared of obstacles.
• Trains new staff on Admission module, holds user meetings, and reads and manages updates to the software, ensuring that the Registrar has the proper information to notify all staff of changes.
• Makes changes to the website for student services and regularly reads the website for needed updates.
• Serves as the Program Ombudsman.
• Other duties as assigned.

This position is a level C15 . Please see starting salary range below. To determine starting salary, Polk State College takes into consideration the pay level minimum, the candidate's qualifications and internal equity factors.

Required Education:

A high school diploma or equivalent

Preferred Education:

Coursework in computer technology, programming or database management is preferred..

Required Experience:

At least two years of experience in a Registrar or Admission office, Information Center, Enrollment Services, Advising, or Financial Aid is required.

Preferred Experience:

Experience in software implementation, software management, programming, report writing, or similar technology within a College environment in Registrar or Admission office, Information Center, Enrollment Services, Advising, or Financial Aid is preferred.
