Membership Program Associate

Responsibilities

Responsible for answering Membership Services telephone, emails, RSVPs and online inquiries. Sells and processes new memberships & renewals. Provides general assistance and stewardship to members and donors. Serves as back up assisting in the Visitor Pavilion Membership Desk operations staff as needed.

Under the direction of the Membership Manager, implement Membership events & activities, to include but not limited to Friends events, Member Previews, Coffees, etc. with possible weekend or event hours. Initiates event work orders and attends weekly calendar meetings. Works with Membership Manager to develop and implement timelines to ensure logistics, staffing, and membership goals are met, by partnering with other departments including Admissions, Marketing, IT, Events, Education, Development, etc. Updates and maintains membership RSVP manually and in Membership databases (CRM, Tessitura).

May assist Membership Manager in creating copy for collateral and other communications to include: e-blasts, inserts, flyers, etc. Responsible for mailings, communications, and record keeping for membership affiliation groups, such as Friends groups, and their members. Responsible for mailings such as member renewals and gift acknowledgements. Produce mailing lists, membership cards, and gift & membership acknowledgement letters. Exports/merges data from the database into spreadsheets and/or documents as needed.

Maintains membership databases and files (CRM and Tessitura). Serves as backup for the FSU Foundation/Ringling Database Administrator for the renewal and fulfillment process specific to membership program. Researches and makes recommendations to improve internal processes and procedures.

Responsible for coordinating Membership Department Volunteers: Responsible for recruiting, training and scheduling to include assisting in organizing & presenting at training sessions, and identifying & developing future volunteer training opportunities.

Provides administrative support. Orders/maintains supplies, initiates expenditure requests & produces work orders. Other duties as assigned.




Qualifications

High school diploma or equivalency and four years experience or a combination of post high school education and experience equal to four years.

Ability to communicate effectively verbally, to include addressing customer concerns via phone inquires, and in writing.

Ability to prioritize, organize and perform multiple work assignments simultaneously.

Knowledge of office practices, procedures, and etiquette.

Knowledge of Customer Relationship Management Software Databases, such as Blackbaud and Tessitura, or the ability to learn.

Knowledge of basic computer operating systems and applicable software, such as Microsoft Office Suite.

Knowledge of the principles and practices of event planning and ability to coordinate, organize and evaluate meetings and/or events.

Ability to demonstrate effective customer service skills and to establish and maintain effective working relationships.




Preferred

Previous experience with Customer Relationship Management Software Databases (Blackbaud, Tessitura).

Previous experience in non-profit, museum, or educational settings.

Experience with membership programs or institutional development.

Experience interacting with the public and providing excellent customer service.

Anticipated Salary Range

Anticipated salary of up to $30,000 per year + Florida state benefits available.

Pay Plan

This is an USPS (University Support Personnel System) position.



Soft Money Funded Position

This position is time-limited based on soft money funding, with renewal contingent upon available funds and the needs of the University.



Schedule

While the primary working hours for this position are between 8:00 am - 5:00 pm, Monday - Friday, the incumbent may be required to work evenings, weekends, special events, or holidays based on the needs of the Ringling.



Criminal Background Check

This position requires successful completion of a criminal history background check, to include fingerprinting. The background check will be conducted as authorized and in accordance with University Policy 4-OP-C-7-B11.
