Judicial Support Specialist 2 (Grant Clerk)

This is responsible administrative work supporting the daily operations of the Administrative Office of the Courts Administrative Services Division on assigned accounting, clerical and customer service support. Assists with grant planning, application development, and award management processes including: identification of prospective funding sources; funding requests for existing and proposed programs and services; development of project budgets working with court personnel and community partners; review and revision of grant proposal narratives; submission of completed grant applications in response to funding opportunity announcements; and, day-to-day administration of grant post-award management activities.

Graduation from an accredited college with an Associate's degree in office skills, computer operations or a closely related field, supplemented by two years of related experience; or any equivalent combination of education and experience which provides the following knowledge, skills and abilities:
  • Collects, classifies, and formats information.
  • Performs arithmetic operations using data or information.
  • Provides assistance to people to achieve task completion.
  • Requires responsibility for achieving and/or preventing loss within the organization through the handling of accounting of materials or services.
  • Uses practical bookkeeping and mathematical reasoning necessary to carry out requirements percentages, measurements, equations, and/or descriptive statistics.
  • Involves the ability to read, write, and speak.
  • Reads technical instructions, charts, and procedures manuals; composes routine reports and completes forms.
  • Effective verbal, written, and listening communication skills.
  • Advanced proficiency/knowledge and experience of personal computers using software such as MS Word, Advanced Excel, Access, and PowerPoint.
  • Organizes work, establish priorities, coordinate work assignments and meet deadlines.
  • Works independently and maintain confidentiality and discretion concerning sensitive issues.

  • Ability to processes, audits, and performs data entry for accounts payable invoices for professional services provided to the courts.
  • Performs research as required to ensure accuracy of information on invoices and expense reports; audits and processes documents in compliance with departmental guidelines and procedures.
  • Greets visitors to the Administrative Services Division provides routine information and directs persons to appropriate area/personnel.
  • Answers department telephones, addresses questions and provides information directs callers to appropriate personnel and takes and distributes messages.
  • Performs clerical tasks, such as preparing mailings and the delivery of time sensitive documents, typing correspondence, schedules, memos or similar materials, and maintaining office supply inventory.
  • Maintains the financial records for the department and assists with special projects as directed.
