People Strategy Coordinator

MassChallenge is looking for a mission-driven and people-focused individual to join our People Strategy (Human Resources) Team. Our team is focused on making sure MassChallenge is inclusive and supportive, and that every employee feels appreciated, motivated, rewarded for their work, and inspired by their role in our mission.  
This role is a great opportunity to get your start in human resources as you will support almost every facet of HR including benefits and policies, employee data and payroll, performance management, and employee engagement. This role may also support hiring and onboarding over time. We are looking for a strong communicator who is organized, able to juggle multiple priorities, and eager to learn and contribute. In this role you’ll report to our Talent Manager. 
A note on location: this position will be based out of our Boston, MA office which is currently closed because of the global COVID-19 pandemic. It is highly likely that this position starts virtual/remote which means you can be located anywhere in the U.S. to start while working east coast hours. We anticipate opening the office no earlier than September 8, 2020, at reduced capacity and with strict safety measures in place. Once our office opens, you would be expected to come in, and at this time we are not able to provide relocation assistance. 
What You’ll Do
Benefits and Policies 
  • Manage benefits enrollment by processing enrollment and change forms, communicating onboarding, offboarding and other changes to our broker, and answering employee questions and providing counsel on our benefits options. 
  • Track benefits enrollments and ensure they are correctly reflected in payroll in partnership with our Finance team.  
  • Make sure new hire packet documents are maintained and facilitate our benefits overview during the onboarding process.  
  • Support our annual benefits renewal process by helping to evaluate renewal options, developing open enrollment communications, creating and executing on an open enrollment calendar, and ensuring enrollment changes are processed correctly with our broker and for payroll. 
  • Support the creation and communication of employee policies. 
People Operations 
  • Process I9 forms, E-Verify cases, and background checks for new hires.  
  • Oversee our onboarding and offboarding checklists to ensure each action is completed in a timely manner. 
  • Own our employee files to ensure proper record keeping.  
  • Maintain our employee data in our various systems including ADP to allow for accurate reporting of important people information. 
  • Create and maintain employee self-help resources including how to make benefit changes and how to update personal information. 
  • Complete employment verifications, unemployment questionnaires and other requests for people data. 
Team Initiatives, Employee Engagement & Culture 
  • Support our weekly employee check-in survey by drafting questions, communicating the survey link and reminder to employees, helping analyze the results, and creating and communicating the weekly report. 
  • Help with the follow up to our annual employee engagement survey by providing project management on initiatives and brainstorming and developing solutions with the team. 
  • Provide scheduling and other administrative support to our COO as needed.  
  • Plan, schedule and execute culture and team events with People Strategy and other MC staff members. 
  • Support the development, implementation, and evaluation of diversity and inclusion initiatives, policies, and procedures.  
  • Build relationships with all employees and serve as a sounding board and resource to all. 
  • Identify and bring forward recommendations and ideas on how we can engage the team and candidates in new ways, with a focus on ensuring employees feel included. 
Hiring and Onboarding 
  • Update information and details in our applicant tracking system, ClearCompany, including personnel changes, email templates, interview scorecards, and applicant grading language. 
  • Track and build reports on data and metrics related to our hiring and onboarding processes and the diversity of our staff and candidates.  
  • Schedule interviews and manage communication on behalf of MassChallenge with candidates.  
  • Send scorecards to staff to collect their feedback on interview conversations.  
  • Support candidate sourcing for internships and full-time roles, with a focus on diversity-related sources to attract a broader pool of candidates.  
  • Support the general management of the hiring process for all roles at MassChallenge. 
  • Manage setup and job description reviews of new roles in ClearCompany.  
  • Recommend and implement candidate experience and recruitment tools.  
  • Work with hiring managers to build effective onboarding plans for new hires. 
  • Schedule days 1, 2 and 3 of onboarding for new staff and manage the flow of these days. 
  • Serve as the point of contact for new hires during their first three months at MassChallenge.  
  • Support the creation and delivery of onboarding trainings, resources and other content. 
  • Respond to feedback from new hires and managers with recommendations to the People Strategy team.  
Who You Are and What You Bring 
  • You have up to 1 year of work experience which could include internship experiences. A degree is not required but for those who do hold an associates or bachelors we invite recent, Spring 2020, graduates to apply.  
  • You have strong organizational skills, including the ability to set priorities, juggle multiple tasks, and organize your time effectively.  
  • You sweat the small stuff and have strong attention to detail. 
  • You are professional and discrete and can keep information confidential. 
  • You have strong written and verbal communication skills. 
  • You are comfortable working with data and pulling together data analysis. 
  • You are tech savvy and are quick to learn new technology and systems. 
  • You have a customer service mindset and are known to go above and beyond to help your customers.
