Group Sales Event Management Summer Intern

Summary/Objective
As a member of the group sales team, a Group Sales/Event Management Intern will report to the Group Sales Director. A Group Sales/Event Management Intern will have the day-to-day responsibility to assist in handling large groups and event coordinating in Medora.

Essential Functions
  • Works with the Group Sales Director in event coordinating and meeting planning.
  • Assists potential groups with any information or reservations they may need for their Medora outing.
  • Is contact for groups interested in coming to Medora.
  • Assists potential groups with any information or reservations they may need for their Medora outing. This includes reserving any necessary items for each group including, but not limited to: lodging, conference space, attractions, and catering.
  • Develops contracts for each new group
  • Is in charge of releasing room blocks and musical blocks.
  • Is in charge of rooming lists for specified groups.
  • Serves guests at the front desk of the Rough Riders Hotel and Badlands Motel.
  • Works on the catering team and special events crew to facilitate corporate reunion, and family events. This includes updating catering contracts for the Food Service Department and assisting the Group Sales Director in developing catering for groups.
  • Assists catering for larger events.
  • Follows all safety and sanitation guidelines and regulations to ensure quality food service.
  • Works with the housekeeping department in the Theodore Roosevelt Medora Foundation lodging facilities.
  • Works at the Medora Musical Box Office to facilitate ticket sales for daily and special events.
  • Helps to maintain the general functions of the Group Sales Department (this will include releasing unused rooms, tickets, and campground spaces).
  • Participates in workplace safety training sessions.
  • Performs other related duties as assigned.

Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Frequently handles confidential information.

While performing the duties of this job, the employee is continuously required to talk and hear. Frequently required to sit, walk, bend over, and have repetitive use of hands and arms. Occasionally stand, reach overhead, and lift and carry up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus to determine accuracy, neatness, and thoroughness of work assigned close proximity use of computer software, and ability to determine the safety of workplace surroundings for themselves and guests.

Position Type/Expected Hours of Work
This is a full-time seasonal position. Days and hours of work are varied based on the needs of the guests, with irregular hours including morning and evening shifts.

Required Education and Experience
  • Previous event planning or catering experience preferred, but not required.
  • Requires detailed knowledge of computer systems, and utilizes telephones, credit card machines, reservation, and ticketing systems.
  • Must be friendly and pleasant and able to work with others.
