Office Manager/Executive Assistant

Wage: $16-$19 + multiple bonuses & sales incentives

Full Time, generally 10 am to 6 pm

Benefits: full health after 6 months, IRA matching after 1 year

We are looking for someone who has great people skills, telephone etiquette, and an eagerness to learn to help us with our rapidly growing aesthetic medical multi-business empire. Financial bonuses in multiple simultaneous opportunities are constantly available with this job, as is mentoring in all aspects of the aesthetic/healthcare business. Fully paid on-the-job training is available for all of your daily tasks. BA preferred, along with conversational Spanish.

Job Duties:
1)     Greeting visitors, answering phone calls, and scheduling appointments.
2)     Get the office ready for the week, including preparing patient charts and doing confirmations.
3)     Handling general patient issues and writing chart notes for these situations.
4)     Performing monthly inventory counts for office supplies and ordering them when they’re running low.
5)     Conducting end of day sales calculations and tracking bonus amounts.
6)     Light book-keeping and data entry.
7)     Calling in payroll.
8)     Interacting with and managing vendors and reps, negotiating contracts, scheduling meetings and lunches as necessary.
9)     Creating consent forms, invoices, office guides, and other documents as assigned.
10)  Creating powerpoints for the doctor’s conferences.
11)  Researching various topics and information for new projects as assigned
12)  Other job duties as assigned by the doctor.

Minimum Required Proficiencies:
1)     Must have excellent customer service and phone etiquette skills.
2)     Must have excellent English writing and grammar skills, i.e. be able to write/paraphrase a typical news source article.
3)     Conversational Spanish required.
4)     Should have an eye for graphic layout and design.
5)     Must be proficient in Microsoft Word, Excel, and Powerpoint. Familiarity with Quickbooks is a plus.
6)     General knowledge of office equipment (printers, fax machines, scanners, etc) is necessary.
7)     General math skills are required.
8)     General computer skills are a must, including typing skills, familiarity with general troubleshooting, and general internet skills.
9)     Social Media familiarity is a must.
10)  Must be able to pivot and prioritize new tasks as assigned, as well as demonstrate good time management skills.
11)  Ability to learn new tasks from written guides and apply immediately is preferred.
