Staff Assistant, Marketing and Communications

SUMMARY
 
This position reports to Associate Director, Development and Alumni Communications and also supports the Director of Strategy. The Staff Assistant advances communications and marketing efforts related to development and alumni relations activity. The incumbent will support the creation and implementation of appropriate communications vehicles in alignment with School and department priorities. Through managing alumni news, congratulatory letters, presentations and the development of other content, the Staff Assistant will draft, edit, and format text and visuals. The Staff Assistant will manage the Development and Alumni Relations publications library, coordinate the email communications calendar, and provide other administrative support to the Associate Director and Director of Strategy.
 
TYPICAL DUTIES AND RESPONSIBILITIES: Include the following. Other duties may be assigned.
 
·        Manage the submissions process and postings of Alumni Updates on the Alumni & Friends website.
·        Support content development through the drafting of news items, emails, and other Marketing and Communications content.
·        Compose, proofread, edit, and prepare correspondence, reports, and other materials using MS Office and development database.
·        Manage the receiving, organizing, and shipping of publications and other related duties.
·        Coordinate Development and Alumni Relations email communications calendar.
·        Enter contact reports in development database for leadership.
·        Draft congratulatory letters to alumni to celebrate achievements.
·        Support independent contractor scheduling for leadership as needed.
·        Create effective and dynamic PowerPoint presentations.  
·        Calendaring support for leadership.
·        Facilitation with leadership on University Development Office requests.
·        Coordination with administrative staff on Cabinet, All-Staff, and other presentation requests.
·        Other duties and administrative tasks as assigned by the Associate Director, Development and Alumni Communications and the Director of Strategy.

SUPERVISORY RESPONSIBILITIES:            
 
There are no supervisory responsibilities associated with this position.
 

BASIC QUALIFICATIONS:

 
·        HS Diploma or equivalent.
·        Three or more years' related experience.
·        Microsoft Office and strong computer skills in a PC environment with the capability to master new software applications and technologies in database management.
 
ADDITIONAL REQUIREMENTS:
 
·        Bachelor’s degree preferred.
·        Must have excellent verbal and written communication with a strong command of English grammar.
·        Interest in the design fields and design professions.
·        Must be customer service oriented to internal staff and external constituencies.
·        Demonstrated strong attention to detail and consistent follow-through with proven ability and judgment to take initiative.
·        Must be highly organized, conscientious, and efficient, with an ability to handle multiple tasks accurately under deadline pressure in a fast-paced environment.
·        Ability to think ahead and plan appropriately to successfully manage small-scale projects.
·        Comfortable using extreme discretion when working with highly confidential information.
·        Ability to anticipate, take initiative, and resolve problems to effectively fulfill responsibilities.
·        Ability to work independently and flexibly.
·        Familiarity with content management systems, including WordPress and Salesforce, and the Adobe Creative Suite.
·        Proficiency or ability to quickly learn Advance CRM.
 
 
PHYSICAL DEMANDS:
 
May require lifting, moving and opening boxes of office supplies, publications, and event materials.
