Coordinator, Planned Giving & Stewardship Fund
Summary
The Individual Philanthropy Group (IPG) focuses on developing relationships with major donors ($10,000 and above) and planned giving donors. You will provide administrative support to two teams within Individual Philanthropy: Stewardship Fund and appeal/mailing programs, and Planned Giving, and will will provide administrative support, data management, as well as event, marketing, communication and fundraising support, building rapport with internal stakeholders, external partners and donors. You will report to the Senior Director, Planned Giving and work closely with the Associate Director, Stewardship Fund & Appeals, assisting on a variety of responsibilities across the fast-paced IPG team and supporting special projects as needed, with great opportunities to learn about and contribute to the work of Save the Children.
What You’ll Be Doing (Essential Duties)
Essential Duties, Responsibilities and Impact
Provide administrative assistance to the Planned Giving team (40%):
- Under the direction of the Senior Director, Planned Giving, help manage Planned Giving mailings which include newsletters, holiday cards, and special appeals.
- Assist with development of materials for senior management meetings, donor meetings and additional high value meetings as needed.
- Assist with bequest administration, including filling out paperwork, obtaining signatures and calling institutions as needed.
- Help draft presentations as needed.
- Develop a strong knowledge of and serve as the team point-person for the Resource Development CRM.
- Compile, initiate, and logically format data and reports.
- Book travel reservations/accommodations, staff meetings, and conference room arrangements as requested.
- Handle expense reimbursements.
- Assist with donor events as needed.
- Perform other job duties as required.
Support the Stewardship Fund portfolio and department appeals and mailings (40%):
- Support the Stewardship Fund portfolio of 200-300 lower level major donors, maintaining and updating donor database
- Support donor outreach and donor materials as requested
- Assist with the development of materials for team, senior management and additional high-value meetings as needed; draft presentations and other materials as required
- Manage conference and travel arrangements and expense reimbursements
- Support appeals and mailings production including but not limited to stakeholder management, data analysis, marketing and communication, and knowledge management
- Support maintenance of appeals and mailings budget, including but not limited to tracking and reporting
- Manage ad hoc requests and support other projects as requested
Coordinate and Streamline Operations (10%)
- Attend Support Team meetings; network and collaborate with peers within the department, division and agency
- Use effective communication and knowledge management strategies
- Offer your time and skillset to support colleagues within the department, division and the agency, including participation in agency trainings
- Assist with IPG salons, galas and other events as needed
Required Qualifications
- High school degree or equivalent, plus at least two (2) years of relevant experience
- Demonstrated ability to think and work proactively, anticipating potential challenges and finding and executing creative solutions
- Professional proficiency in spoken and written English
- Professional proficiency in MS Office Suite
- Proven ability to efficiently organize and manage multiple priorities, often with conflicting deadlines
- Demonstrated ability to successfully communicate and collaborate with individuals and teams at all levels, both internal and external
- Proven attention to detail and a high degree of internal and external customer service and confidentiality
- Demonstrated adaptability and situational flexibility
- Professional presence to internal and external customers and donors
- Demonstrated commitment to fostering and maintaining an environment of diversity, inclusion, and belonging
Preferred Qualifications
- Experience with Blackbaud CRM
- Stewardship Fund or similar program experience
- Appeals and mailings or similar marketing, communications and fundraising experience
