Executive Assistant

The University of Missouri Division of Advancement is seeking a dynamic team member that will support the Associate Vice Chancellor for Health Advancement. The successful candidate will oversee complex and strategic scheduling and high-level relationship management for the AVC, using excellent judgment and understanding when discretion and confidentiality as required. This important position will have the opportunity to manage key projects, event coordination, donor activities and priorities to ensure goals and strategies are met in support of the AVC and team.
Other responsibilities of this role include:
·        Review and assist with verification of performance metrics, gift proposals, as well as the compilation of fundraising reports for Health Advancement;
·        Support the coordination and scheduling of staff and volunteer committees to advance the area;
  • Provide staff support for a variety of external and internal events including, but not limited to, donor recognition and fundraising activities;
  • Assist with the communication and/or scheduling of appointments—via correspondence, digital or phone as needed with key constituents;
  • Review/verify information on departmental income and expense statements to ensure for accuracy and complete using knowledge of University accounting procedures;
  • Lead coordination of vouchers, requisition and documents as needed for the AVC;
  • Gather, organize and summarize information requested by the AVC in order to provide accurate data/information necessary for meetings/conferences using research techniques;
·        Compile timesheets/absence summaries and record information in Peoplesoft and process monthly charges as needed for the AVC;
·        Coordinate and participate as needed in team meetings, retreats;
·        Develop systems and processes for AVC and team to reflect modernization and innovation of current and future programs;
·        Serve as lead for Health Advancement team for Advance reporting, contact reporting, research as needed for AVC;
·        Create documents and presentations including some writing, editing and graphics as needed, particularly using PowerPoint and other tools;
·        Perform other duties as assigned.
Shift: M-F 8am-5pm
Preferred Qualifications: A Bachelor’s degree or an equivalent combination of education and experience from which comparable knowledge and abilities can be acquired is necessary. One year of related experience in business administration, personnel administration, or higher education administration is necessary. Proficient use of Microsoft Excel, Word, Outlook and Access; familiarity with PeopleSoft and Advance is preferred.

Salary: Compensation starting at $20
