Marketing Assistant
SUMMARY:
Provides administrative assistance to director of business development and marketing coordinators. Prepares drafts of selected proposal sections; provides primary record keeping, filing, and data collection. Serves as purchasing coordinator for business development department.
ESSENTIAL DUTIES AND RESPONSIBILITIES:

Assembles data and prepares drafts of selected proposals.
· Develops SF 255, 254, and 330 drafts for selected projects.
· Provides primary data entry for CRM.
· Drafts general proposal marketing letter drafts.
· Develops resumes of professional staff in varied formats.
· Monitors a variety of newspapers, internet, and lead searches for project leads.
· Coordinates with graphics staff for preparation of proposal graphics.
· Reads daily newspapers and selected periodicals, clipping services data, etc. to identify articles relating to past, current and prospective customers.
· Maintains business development files and storage areas including photograph files.
· Maintains several mailing lists for mailers, invitations, etc.
· Handles research, recommendation, and purchase of marketing "giveaways" and keeps inventory of same.
· Coordinates ordering of stationery and business cards.
· Gathers project and related firm data helpful in the marketing process.
· Follows lead through proposal/presentation process until it becomes a project or is awarded to another firm; notify interested parties, keep records of selection.
· Updates and maintains "boilerplate" marketing data.
· Maintains stock of binders, dividers, covers, brochure pieces, binding equipment supplies.
· Personalizes, organizes and assembles credentials packages as required by principals, project managers and business development director.
· Annually arranges for update and clear out of consultant files.
· Assembles and mails proposals, brochures, credentials packages.
· Assists with development and binding of presentation materials.
· Schedules various marketing meetings keeps notes on selected meetings.
· Arranges for professional photography of professional staff and new projects
· Handles mailing of newsletters, mailings, announcements, invitations, etc.
· Assists with paperwork necessitated by convention/seminar attendance and trade show participation.
EDUCATION and/or EXPERIENCE:
· High school diploma or associate’s degree
· Bachelor’s degree in marketing, public relations, communications, journalism or related field desired.
· Previous experience in similar position or administrative experience with a professional services firm
· MS Word, Power Point, Excel, Page Maker, Photo Shop and CRM.
· Professional services design and construction process.
