Program Coordinator

ABOUT RED SNEAKERS

RSFO’s mission is to educate and advocate for food allergy awareness; our goal is to establish the image of Red Sneakers as the global symbol of the desperate need for greater food allergy education and awareness. RSFO is primarily a marketing organization for promoting, advocating and educating for food allergy awareness. Fundraising is conducted through our two Red Sneakers for Oakley (RSFO) programs: RSFO Days, and RSFO Digital Media. 

Current Programs: 

RSFO Days: Outreach through schools, workplaces and communities.
These awareness programs events take place in schools, workplaces and communities across the world.  RSFO has developed unique campaigns and marketing strategies to targeted audiences that promotes our mission. 

RSFO Digital Media:   Outreach through various social media platforms where we educate people on the dangers of food allergies.  We seek to educate people across the various social media platforms and create cohesive messaging that supports our mission, educational campaigns, marketing and content that develops global awareness for RSFO’s mission.  
These outreach programs enable RSFO to meet our non-profit objectives.

POSITION OVERVIEW
The Office Manager (OM) position is a full-time position which reports to the board. While this position should allocate 40 hours a week and make themselves available to the staff, 9am – 5pm, or as needed on nights and weekend. The OM bridges both programs and is responsible for achieving the program metrics.

The (RSFO OM) organizes and coordinates all communications and activities of the organization. The (OM) oversees the staff and is responsible for overseeing the day-to-day operations of the organizationThey must have the ability and willingness to communicate with and assist the thousands of individuals around the world who rely on RSFO for accurate and compassionate information regarding food allergies.

QUALIFICATIONS
The applicant will possess the following qualifications or the equivalent:

Desired skills:
  • 5 years non-profit experience
  • Administrative and Office Management experience
  • Financial Tracking and Reporting – Programs, Donation/Donors, Sales
  • Budget management and reporting including expense and revenue allocation
  • Highly proficient in all Microsoft 360 programs and Google Drive
  • Working knowledge of QuickBooks
  • Database Management (Mailchimp experience preferred)
  • Event planning and coordination
  • Bachelor’s degree in business management and/or marketing, or healthcare administration 
  •  Marketing and graphic design capabilities 
  • Self-starter and self-directed
  • Results driven
  • Multi-tasker
  • Ability and willingness to work independently
  • Prioritize tasks and meet deadlines
  • Strong written and verbal communication skills 
  • Critical thinking


RESPONSIBILITIES

Management and Administration

Program Coordination: Days and Digital Media Programs

Establish and coordinate days with the program manager (PM) and web manager. Establish collateral with (PM) for each day and campaigns to market. 

Program Manager will:
  • Develop and manage new points of contact.
  • Maintain records to ensure continuity of RSFO Days.
  • Promote annual International Red Sneaker’s Day May 20th
  • Work with program manager for cohesive messaging, marketing and content.       
  • Track our monthly reach, catalog testimonials and other success stories
  • Review social media objectives and results

Partnership Program 

  • Develop and maintain current relationships across all RSFO channels
  • Introduce RSFO and engage new partners
  • Communicate with the partner’s point of contacts as needed
  • Set up revenue sharing and co-marketing

Workflow Communications and Schedule Management 
  • Responsible for preparing for weekly workflow meeting
  • Assist prioritization and completion schedule
  • Work with OA on all corporate email accounts (info@redsneakers.org; education@redsneakers.org etc.)
  • Respond to all incoming requests and inquiries as directed.







 Contact/Database and Technology Management with (OA) 

  • Streamline and manage all Databases with Office Administrator
  • Mailchimp
  • Partners
  • Days Program
  • Merchandise 

 Content/Materials 
  • Work with third party vendors to create contact as needed: program, marketing, flyers
  • Research, recommend and procure merchandise to support, fulfill and enhance all RS Programs
  • Convey to the graphic and web designer the intent of the Executive Director and Program Director in the development of marketing and for-sale materials 
  • Manage collateral inventory with Office Manager
  • Set up and integrate collateral on website


    Event Management

  • Event Planning and Promotion with Director of Fundraising and Office Administration 
  • Produce and create event marketing materials
  • Ensure DM and Website Manager has all event information
  • Assist Director Fundraising with event promotion and ticket purchase via the website
  • Engage event sponsors and ensure RS upholds sponsorship responsibility
  • Support invitation distribution, database management
  • Assist pre-event needs with Fundraising Director

Finance

  • Maintain and ensure yearly budget is adhered too
  • Support Office Administrator and Board Executives with financial reporting
  • Review and inform management of all potential or unavoidable budget issues

Governance and Board of Directors

  • Schedule Meetings, ensure meeting quorum, and prepare relevant documents with Office Administrator
  • Address all Director Requests and needs
