Arts 501(c)(3) Camp Administrator

This is a full-time position at a full-schedule, residential arts program!

Buck's Rock Camp, a 501(c)(3) public charity, is hiring a wide variety of Camp Counselors for its upcoming season in 2022. Camp Counselors arrive in late June and reside on-site for two months through August while working with kids and teens ages 10-17. Exact job responsibilities depend on specific placements but are limited within a range to accommodate precise roles. Camp Counselors work in a thriving community of nearly 500 adult and young artists.

We are looking for an experienced Camp Administrator. This position is responsible for supporting the camp directors, general manager, and president in the year-round operations of the camp. Responsible for coordinating paperwork and administrative tasks for the summer programs and managing staff forms. They are responsible for the intake, screening, and management of camper information. They are responsible for following up with prospective families, answering their
questions, and passing along necessary information to the Camp Director. They will support programs and outreach throughout the year, including summer. It also assists the Camp Director, Development Manager, and President in human resource, finance, fundraising, and general operations.


Requirements:

● Excellent communication skills
● Excellent leadership skills
● Positive, attentive attitude toward campers, staff, and parents
● Customer service experience (or similar)
● Ability to manage office staff schedules and team coordination
● Computer database system experience (to use CampMinder)
● Ability to remain level-headed with a wide variety of issues that come up, from campers needing emotional support to frustrated/angry
parents to confused staff
● Excellent organizational skills and eagerness to maintain/track messages passed to administration and shop heads
● Creativity in problem-solving with new/unknown issues or questions
● Strong commitment to diversity, equity, inclusion, and justice
● Must be vaccinated & boosted

Responsibilities:

Year long (off-season) Responsibilities...

● Receive and respond to all forms of communication: e-mail, paper mail, telephone, fax
● Collaborate with the camp office staff to improve programs for campers, including application/brochure materials, daily schedules, registration, and policies
● Answering the phone
● Point of contact with prospective and returning campers’ families. Must answer their questions, follow up with them throughout the enrollment process, and pass along information to the Director.
● Point of contact for certain local vendors (e.g. shipping services, vehicle rental services)
● Coordinate camper and camp staff related paperwork
● Maintain a variety of files and forms for the purpose of documenting and/or providing reliable information relative to camper and staff records
● Maintain & manage the camp databases, including updating contact information
● Must have the ability to prepare online and printed forms (i.e. Applications, Medical Forms, etc.) and other job-related documents using
prescribed format and conforming to the rules of punctuation and grammar
● Prepare and disseminate informational lists (i.e. Medical, Pre/After Care) to the administrative staff during the summer
● Work with Camp Director to prepare and organize workshops and events for staff training
● Employee benefit administration

Summer Responsibilities...

● Lead office team though maintenance of staff schedules and team communication
● Answer phone calls (from parents, staff, contractors, and related service providers)
● Provide customer service support
● Greet parents, campers, and staff that come to the front window to address a variety of needs
● Use CampMinder to track camper and staff management
● Lead, organize, and maintain office communication through passing messages to staff, administration, and campers
● Track the bus and camp driver schedules
● Lead check-in procedures during camper arrival and orientation

Location:

Hybrid (September-May); On site (June-August) - Must be local (Litchfield county)
