Ad Promo Assistant (Open to Remote)

We are seeking an Ad/Promo Assistant to join the Creative Marketing Services team of Penguin Publishing Group, part of Penguin Random House. This person will support Art Directors and Designers on a highly creative design team that works directly with marketing and publicity teams on all advertisements, promotional items, social media assets, and videos for a book’s campaign—we design everything but the book! The ideal candidate will handle a wide-range of administrative, organizational, workflow-related responsibilities as well as execute templated design projects, working primarily on the Putnam, Dutton, Tiny Reparations Books, Penguin Press, and Plume imprints. You will gain a broad understanding of what happens behind the scenes (from the general to the particular) when a book is being shaped to enter the competitive marketplace.

Responsibilities include:
- Writing weekly round-up emails to marketing teams, tracking deadlines, project status, and ad planning needs, including imprint-specific marketing outreach to gather project copy to kick off a project’s life cycle
- Weekly requests of cover art files and licensing rights, working with art operations teams to maintain an Excel grid and working with art directors on a seasonal title assignment grid
- Writing copy and laying out back-of-book templated advertisements (back ads) for printed books
- Coordinating account-specific promotional items from start to finish, generating barcodes, working with marketing and sales on ISBN set up, designing within a template, routing, and sending to production
- Facilitating production of blowups (mounted posters of large-scale book covers), working with print production and publicity teams to ensure timely printing and delivery
- Printing time-sensitive templated imprint bookplates (stickers that can be placed in book) for author signings
- Providing general assistance & support to design team on various projects, including tracking shipments of print projects, handling monthly expense reports, and flagging rush jobs and priority jobs
- Additional design work across various imprints as needed, working closely with team leadership to refine designs and copy, incorporate feedback, and independently route work to internal departments
To be successful in this role you will need to have:
- Genuine interest in book publishing and book-oriented social media
- Project management and workflow skills, including the ability to create and adhere to timelines and move projects forward
- Proven self-starter with strong task management skills, attention to detail, and ability to work independently
- Feel at ease learning new technology and quickly adapt to change, new processes, and project management tools
- Have excellent written, proofreading and verbal communication skills
- Desire working under tight deadlines, adapting on the fly
- Be a visual thinker with a strong interest in design as it applies to marketing
- In addition to a foundation of project management, this role calls for curiosity and flexibility in an ever-evolving marketing environment
- Proficient in Excel, Adobe Photoshop, and InDesign
- Photography skills and knowledge of Filemaker Pro, Illustrator, Adobe After Effects, and Adobe Premiere a plus
Salary for this role is at $45,000.00
