Summer Activity Coordinator

Overview of the Position:

Professional Linguistic Upper Studies (PLUS) runs summer English language study and travel programs for international high school students across North America. The programs allow students the opportunity to take English classes and explore the surrounding regions while staying at North American colleges and universities.

This is a seasonal, full-time, salaried, and in-person position that is integral to the success of our international programs. Activity Coordinators are responsible for leading students on excursions, conducting walking and bus tours of sights, interacting with and engaging with students on campus and on excursions by conducting activities, participating in on-campus activities, and assisting with group check-ins and check-outs. Activity Coordinators also have specific coordination duties. Coordination responsibilities may include but are not limited to event coordination, social media coordination, sports and activities coordination, and excursion coordination. These coordination duties may rotate during the employment period. Activity Coordinators work under the direct supervision of the Activity Manager. Full room and board is provided for the duration of employment. Residing on campus is a requirement of the position.

Time Commitment:
  • The employment period for the Activity Coordinator position can range from 2 to 8 weeks during the summer, depending on the needs of the campus and employee availability. The majority of Activity Coordinators work for 4-6 weeks. In the application, there is space to indicate and explain your availability during the summer months. 
  • Activity Coordinators are expected to work a flexible schedule. Night and weekend work is expected to meet the demands of the program and no vacation time can be honored during the employment period for this position.

Travel:
  • Regional travel is required. Travel to excursion destinations and any work travel during the employment period will be provided and covered by PLUS.
  • Employees are responsible for all travel and moving costs to and from campus location prior to and at the conclusion of their employment.

Compensation:
  • This is a seasonal, temporary position. The pay-scale for this position is expected to range from $2600 to $5417 per month and is pro-rated based on dates of employment. This is a good faith estimate and exact pay will be determined based on a variety of factors including length of program, location of employment, and candidate experience.
  • Housing for duration of the employment period
  • Meals (full board) for the duration of the employment period

Specific Duties and Responsibilities:

The following is expected of Activity Coordinators:

Standard Expectations
  • Interact with groups of international high school students and their group leaders in a professional, enthusiastic, and customer service-oriented manner
  • Be familiar with, adhere to, and enforce PLUS policies and procedures, including maintaining Covid-19 protocols
  • Ensure the safety of all participants, including taking them to the hospital, if necessary, and documenting all hospital visits for insurance purposes
  • Be familiar with campus-specific information, including everything in the PLUS Guide
  • Maintain frequent communication with PLUS staff
  • Assist with emergency situations, as needed
  • Complete all PLUS assessments received during employment period
  • Assist in duties other than the aforementioned and the following, as assigned and as they arise

Staff Supervision
  • Supervise and motivate Counselors
  • Conduct regular performance evaluations of the Counselors

Off-Campus Activities (Excursions)
  • Lead groups of students and their group leaders on off-campus excursions, while providing them with information about tourist sights according to the PLUS Guide
  • Conduct activities and/or play games on each bus ride to and from tourist sights, interacting with participants as much as possible and getting them excited about what they’re seeing
  • Conduct activities with students during their “free time” on excursions to help them fully engage with tourist sights
  • Conduct walking and bus tours of sights for participants according to the PLUS Guide; be familiar enough with the PLUS Guide to present the information and tours in a high-quality manner
  • Assist the management team in ensuring that excursions run smoothly
  • Coordinate and lead day and overnight trips, as instructed
  • Supervise students on the buses and at the tourist sights
  • Coordinate with bus drivers to ensure smooth and timely drop-offs and pick-ups
  • Play games and entertain students while awaiting buses, especially if there is an unforeseen delay
  • Assist with hotel check-ins and check-outs for overnight excursions
  • Be on night duty and on-call on a rotating basis during overnight excursions at hotels

Airport Pick-Up Responsibilities
  • Greet students and their group leaders at the airport
  • Provide a “welcome speech” upon picking them up
  • Assist group leaders in filling out rooming lists
  • Coordinate with bus drivers to ensure groups are transported safely back to campus
  • Lead participants to buses

On-Campus Activities
  • Supervise and participate in on-campus activities
  • Coordinate and lead on-campus activities, as requested
  • Attend and participate in all of the following activities: talent shows, graduation ceremonies, and “Welcome Night” presentations that orient students to the PLUS program
  • Encourage student participation in on-campus events
  • Prepare and take part in at least two talent show acts per session talent show
  • Assist in the group check-ins and check-outs, as instructed
  • Conduct campus tours for participants, as instructed

Customer Service and Participant Interaction
  • Interact with groups of international high school students and their group leaders in a professional, enthusiastic, and customer service-oriented manner
  • Liaise with group leaders and students, understanding and addressing their expectations and concerns
  • Attend and/or conduct meetings with group leaders, as needed
  • Engage with students as much as possible to help them improve their conversational English skills
  • Encourage student participation and involvement in the PLUS program
  • Eat and converse with PLUS participants during meal times

Student Supervision
  • Supervise students in the residence halls and dining hall
  • Supervise students during excursions and on-campus events, as instructed
  • Be on night duty (including conducting rounds of the residence halls and responding to emergency calls) on a rotating basis

Coordination Responsibilities
Each Activity Coordinator will be assigned specific coordination responsibilities. These responsibilities may rotate during the employment period. Coordination responsibilities may include but are not limited to the following:

Event Coordinator: Responsible for planning and coordinating all on-campus events, such as but not limited to student orientations, educational workshops, talent shows, graduation ceremonies, disco nights, karaoke nights, pool parties, game nights, etc. The Event Coordinator is also responsible for compiling a list of student and group leader birthdays from group rosters, organizing a birthday card signed by all staff members, and planning and coordinating birthday celebrations on a per-group basis for participants whose birthdays fall during their time with the PLUS program

Sports & Activities Coordinator: Responsible for planning and coordinating all sports games and tournaments, as well as on-campus recreational activities

Social Media Coordinator: Responsible for maintaining PLUS social media and updating the PLUS website daily. The Social Media Coordinator also updates campus signs with pertinent information regarding the daily plan and on-campus activities, and monitors that PLUS branding is up to company standards.

Excursions Coordinator: Responsible for creating, coordinating, and leading activities to engage students on excursions. The Excursions Coordinator also assists the Activity Manager in planning and coordinating excursions, and leads excursions as directed

Office & Miscellaneous
  • Attend daily staff meetings
  • Responsible for tracking Company spending
  • Responsible for appropriate use and documentation of company card, as needed
  • Assist in the distribution, tracking, and reconciliation of all participant per diems and/or gift cards
  • Assist in administrative tasks, including assisting managers on both Activity and Academic teams to ensure all PLUS program needs are met
  • Assist in preparing the campus for students’ arrival
  • Assist in participant check-in and check-out processes and changeover periods
  • Assist the management team as necessary and as requested
  • Assist in the distribution of boxed meals
  • Walk students to and from classroom buildings, as instructed

Qualifications and Desired Skills:
  • Authorization to work in the U.S. required
  • Must be 18 years or older
  • High school diploma required
  • Previous summer camp experience or work with minors preferred
  • Previous international experience preferred
  • Previous customer service experience strongly preferred
  • Experience with at least one coordinator responsibility strongly preferred
  • Athletic, musical, theatrical, and/or artistic talent and enthusiasm strongly preferred
  • Public speaking/MC experience preferred

The successful candidates will be able to work individually and as a member of a team and have strong interpersonal and verbal communication skills. They will also have a strong work ethic, customer service and problem-solving skills, and be professional, personable, energetic, outgoing, positive, adaptable, self-motivated, proactive, creative, and able to work well under pressure.
