Administrative Coordinator

Crew One Productions is one of the largest technical staffing sources in the Southeast for concerts, corporate events, trade shows, and festivals. We provide the personnel responsible for setting up audio, video, and lighting components, staging, rigging, and various other aspects of live entertainment/event production. Our clients are some of the world’s leading entertainment and concert promoters, including Live Nation and AEG Presents. Some of the events we provide crew for in the Atlanta market include concerts at State Farm Arena, Gas South Arena, Truist Park, and Mercedes-Benz Stadium. We also have offices in Miami, Orlando, Tampa, Nashville, Memphis, Chattanooga, and provide crewing solutions for festivals nationwide.

Overview:

The Administrative Coordinator will work closely with the Business Manager and Operations team to assist and provide support in various administrative functions, and to help organize and coordinate efforts to facilitate productivity within the business. This position requires someone who is highly organized, detail oriented, has a strong ability to multitask, is multifaceted and enjoys working in a fast-paced environment.

Duties and Responsibilities:

  • Assist the Business Manager as needed in developing cost estimates for upcoming events in relation to production advance information and budgeting requirements provided by the client.

  • Work in correlation with onsite Project Coordinators/Leads, and the Business Manager, to generate invoices and reinforce payroll for events as necessary.

  • Create dialogue and work closely with the Operations Management team to assist in the scheduling of independent contractors for upcoming events when necessary.

  • Support the Operations team during orientations to hire new independent contractors, and assist with the organization, review and data entry of new contractor applications as needed.

  • Maintain record keeping of all events and applicable documentation for work in the Atlanta area.

  • Update the company-wide shared events calendar frequently with newly announced concerts, corporate events, etc. for the Atlanta market.

  • May need to be available on weekends or be on-call after hours during event days.

  • Perform other daily administrative tasks such as answering and redirecting phone calls, updating contractor records, filing of show files, e-filing contractor applications and certifications, etc. 

Qualifications:

  • A bachelor's degree is required for this position. Preferred fields of study include business and entertainment studies.

  • This is an entry-level position; administrative/business experience is preferred, but not required.

  • General knowledge of the music/entertainment business is preferred, but not required.
