Plans Review Coordinator

Description
Performs responsible technical and administrative work coordinating and monitoring the submittal and processing of subdivision applications and review of site plans and plats for recordation; effectively monitors the progress of project reviews and provides information to customers on progress and status of plans under review; organizes and maintains plans and plan review records; does related work as required. Work is performed under the limited supervision of a Principal Planner.

Examples of Duties
  • Develops and implements policies, procedures and processes relating to effective and efficient plan review services.
  • Interacts with developers, designers, builders, and owners to ensure that site plan applications and plans are complete and meet minimum submittal requirements for review.
  • Determines necessary reviews and enters initial project data into an automated site plan review system to create plan review assignments.
  • Coordinates and distributes plans and specifications to various review disciplines or agencies and tracks plan review activities of the various reviewing parties to ensure desired review process outcomes are achieved within department timeframes. 
  • Provides information about the subdivision and plan review process and responds to questions, requests, and complaints from customers regarding project plan review status or comments. 
  • Facilitates and participates in group meetings with customers and plans examiners to address project concerns or Subdivision Regulation issues. 
  • Maintains and organizes site plans and plan revisions prior to plat approval. 
  • Assists with the maintenance and storage of plans according to state custodial schedules; compiles and maintains statistics and records on plan review activities.

Typical Qualifications
Education and Experience:  
Any combination of education and experience equivalent to high school diploma supplemented by technical level courses in planning, architecture, drafting, or a related field and extensive experience in subdivision and site plan review. A Bachelors or Associate Degree with course in planning, architecture, drafting, or a related field highly desirable.
 
Knowledge, Skills and Abilities: 
Knowledge of City policies and procedures; knowledge of principles, practices and methods of site plan review or administration and enforcement of subdivision regulations; knowledge of standard office procedures and practices; ability to read and interpret infrastructure and development plans, specifications and surety documents of standard complexity; ability to communicate clearly and effectively, orally and in writing; ability to use computer information systems such as permitting & inspection systems, geographical mapping systems and word processing, spreadsheet and database applications; ability to respond effectively to inquiries and complaints and solve complex problems; ability to work effectively individually and as a member of a team; ability to explain and enforce regulations, policies and procedures tactfully and impartially with customers; ability to establish and maintain effective working relationships with co-workers, customers and the general public.

Physical Requirements:
This work requires the occasional lifting and maneuvering of up to 50 pounds; using hands to finger, handle or feel; requires extensive periods of sitting and repetitive motion; frequent speaking or hearing; and occasionally requires standing, walking, stooping, kneeling, crouching or crawling, reaching with hands and arms and lifting. Work has standard vision requirements; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; work requires preparing and analyzing written or computer data, using of measuring devices, operating motor vehicles or equipment and observing general surroundings and activities; work is generally in a moderately noisy location (e.g. business office, light traffic).
