Administrative Support Specialist

JOB SUMMARY

Kutak Rock seeks an Administrative Support Specialist in its Omaha office. This position provides flexible, cross-functional support to the Information Security & Privacy Counsel and to the Conflicts and Matter Opening Team, within the Office of the General Counsel. This position assists with workload management, providing support during high-volume periods, employee absences, or special projects. The Specialist will have familiarity with and participate in the workflows ensuring department tasks are processed timely and efficiently, with a focus on client service. This role is ideal for a highly organized individual who enjoys working in a collegial and collaborative environment.

 

RESPONSIBILITIES

  • Maintain familiarity with the workflows for client assessments, vendor vetting, outside counsel guidelines reviews, conflict checks, and new matter intakes
  • Provide administrative and project-based support for the Information Security & Privacy Counsel as needed
  • Aid in the collection and organization of data for internal and external information security and privacy-related reporting requirements
  • Help monitor deadlines, track deliverables, and follow up on assigned action items
  • Collaborate with the Client Services Manager to support departmental needs
  • Assist with maintaining and updating departmental recordkeeping systems to ensure all documentation is current and easily accessible
  • Assist in the implementation of new technologies to support departmental workflows
  • Understand key privacy, security, conflicts, and client imperatives relevant to Office of the General Counsel workflows
  • Provide flexible support across teams as needed
  • Ensure accurate, thorough, and timely work product
  • Maintain confidentiality of sensitive information
  • Collaborate with team members to ensure seamless coverage of work during absences
  • Other duties as needed

  •  High degree of accuracy
  •  Ability to handle confidential matters with discretion
  •  Self-starter and able to work with little supervision
  •  Ability to multitask, prioritize, and meet deadlines
  •  High degree of organizational skills
  •  Ability to problem solve

 

 QUALIFICATIONS: Education and Experience

  •  High school diploma or GED required
  •  Bachelor’s degree, Associate’s degree, or equivalent work-related experience preferred
  •  One to five years of related work experience – law firm experience a plus

 

 Position Information

 Status: Non-Exempt

 Salary Range: $45,000-$50,000 per year

 Work Arrangement: Hybrid 3:2
